Personnel Administrative Assistant - Spain
The Personnel Administrative Assistant will assist in theadministration and processing of the payrolls, communication with SocialSecurity, benefits, employment contracts and taxes forms for all employees. Theywill be responsible for the implementation of the Risk Prevention and HealthControl activities calendar. Responsibilities: * Communication of new hires data to payroll for processing. * Assist in the monthly treasury provision of employee costs. * Signing up or withdrawal of workers with the Social Security department and keeping records up to date. * Processing of sick leave documents due to work-related accident or professional illness. * Administration of the company’s benefits programs * Timely and accurate processing of all related payroll and benefit adjustments * Maintain employee files & records up to date * Vacation and attendance tracking. * Prepare documentation for hires, terminations, transfers and salary adjustments * Prepare certificates and other documents required by the employees. * Respond in a timely and professional manner to internal inquiries * Participate in year-end processes including : Certificados de Retenciones (P60, T4)for all employees and ex employees. * Assist in activities involving payroll & benefits and other HR projects as assigned * Assist to prepare documentation required by Public Institution on our applications of sponsored work permits for not European workers. * Stay abreast of legislation and any related payroll & benefits information * Personalizing employment contracts for new hires. * Prepare tax related documents for employees: Forms 145, 147, 149, 030, etc. * Implementation of the Risk Prevention and Health Control activities calendar. Record keeping of the actions taken to comply with the Health and Safety regulations. Scheduling of the annual medical check ups, fire drill, workplace evaluations, etc. * Assist in verbal and written translation between English/SpanishRequirements: * University Degree in “Relaciones Laborales” ó similar. * Minimum of 2 - 3 years of previous local experience in similar position or in an employment contract and payroll services provider, or in a Gestoria. * Experience with ex pats regularization an asset: Immigration, Social Security and Income Tax requirements. * Proficiency with Microsoft Excel and Word * Ability to work in a growing, fast-paced environment while meeting tight deadlines * Must be a fast learner with proven skills in multi-tasking and attention to detail * Ability to work independently and as part of a team * Excellent personal interaction and communication skills * Absolute confidentiality for payroll and personnel information * Spanish fluent at legal level.
