Job Posting Title: Exec/Admin Assistant IAutoReqId: 130669BRResponsibilities: Position Summary:Perform accurate and timely secretarial and administrative duties of a highly responsible and complex nature to Director(s)in World Service Europe based in Madrid.Responsibilities include but are not limited to:? Organising and maintaining a set complex diaries using a high level of tact and integrity. The post holder will need to manage across mutiple timezones.? Making complex travel arrangements including air, hotel, transfers & visas.? Co-ordination of internal and external meetings and team events, including room booking, catering etc.? Undertake tracking and administration of Cost centre & CPC statements.? Co-ordinating, preparing and reconciling of expenses using Concur.? Perform full secretarial and administrative duties, producing accurate presentations, documents and general correspondence in a timely manner.? Email delegation / reacting and responding on behalf of, prioritizing what is important and urgent, acknowledging receipt on behalf of, replying on behalf of the Director(s) World Service.? General follow-up, reminders and chasing in order to effectively meet deadlines and commitments.? Organise regular team meetings and 1:1s with Direct Reports.? Brass Ring and recruitment process, relocation and new starter co-ordination.? Answering telephones / picking up voicemails ? for own phone and on behalf of Director(s) World Service, passing on messages, following up requests etc.? Provide support to the World Service Team when applicable.?
